Overview

The Health & Wellness Center, at Macalester College is seeking to hire two Patient Access Coordinators. This position serves as the primary point of contact for students seeking medical, counseling, accessibility  and other health-related services. The Patient Access Coordinator triages within scope of their training and expertise and as guided by clinical directors while providing reception, phone answering, scheduling, electronic correspondence, and general office/operations support. Additionally, this role performs department support through management of student billing, database management, clerical duties, calendar management, and other administrative department tasks.

This is a 0.90 full-time position working 35 hours per week Monday - Friday from 9:15 am - 5 pm.

 About the Health & Wellness Center:

The Laurie Hamre Center (also referred to as The Health & Wellness (HWC))  offers integrated medical, counseling, disability, health promotion, and sexual violence prevention services and programs for all students and serves as a resource supporting the entire Macalester community’s effort to build a healthy campus. We are dedicated to providing care, support, and connection to resources for students of all identities.

Responsibilities

  • Patient Communication
    • Interacts positively and professionally with student patients and other college/community contacts, both in person and through phone, video, and written electronic communications.  Serves as the first point of contact for students, who may often be presenting in mental or physical distress, triages within the scope of their expertise and clinical licensure. Understand operations of the office and policies and procedures of the office and college to effectively, accurately and completely provide information to and obtain information from patients and other contacts, while upholding patient privacy, FERPA and HIPAA rights.
  • Appointment Scheduling
    • Schedule appointments using established protocols, coordinates triage traffic, prints encounter forms and provider schedules, sends appointment reminders (electronic or phone).
    • Prepares necessary records for providers and has appointment complete needed paperwork (ex: privacy forms, counseling intake forms); provides directions to community resources and referrals as needed; assists students with Uber transportation.
    • Assists with forms scanning, data entry, and other administrative work for records, referrals, projects; assists with varied Health & Wellness Center projects and tasks as needed.
    • Assists co-workers in performing tasks within the scope of the office operation to equalize workloads, provides excellent service and promotes the smooth functioning of Health & Wellness Center.
    • Maintains website for the health and wellness center.

Qualifications

 

  • 1-3 years of experience in a medical or health office setting. Experience in college setting desirable.
  • High School Diploma required. Associate’s Degree preferred.
  • Health care organization experience highly preferred.  Front desk operation or experience in administrative support.  Knowledge of HIPAA and FERPA privacy rights.
  • Ability to problem solve around complex, shifting demands and expectations of students and staff; managing appointment schedule to maximize service to students and staff efficiency.
  • Electronic medical record experience highly preferred, proficient in email, Google suite, etc.; other technology skills (social media, etc) helpful.
  • Multiple line telephone, office productivity tools including Google suite, electronic records (e.g. Medicat).
  • Communication skills - provide strong, positive first impression to all who contact the office; deal with individuals in distress; handle emergency situations & at times, fast-paced environment.
  • Cultural awareness in working with diversity of all kinds and in handling discussions around equity & inclusion, disability, mental health, sexual health, etc.
  • Through genuine and positive communication, makes each community member feel informed and understood, demonstrating flexibility and capacity for change.
  • Demonstrates the commitment to equity, inclusion, and diversity. Actively engages in learning and practicing principles of social justice and inclusion to increase individual capacity to support institutional changes that create and sustain a more welcoming and inclusive environment across the Macalester Community.

 Compensation & Benefits:

This is a non-exempt, 0.90 FTE  position with an hourly rate of $20.75 to $21.75 and Macalester’s full benefits package.
