Overview

The Payables Specialist enters and processes vendor payments in a timely and accurate manner. This position also monitors purchase order approval and authorization, trains end users on the College's purchasing and payment policies and practices, helps users make wise purchases using procurement consortia contracts and e-procurement tools, supports Macalester College's commitment to sustainable procurement practices, and provides exceptional customer service to campus and vendor contacts.

 

This is a full-time position with a flexible hybrid onsite/work from home schedule and daily business hours of approximately 8:00am-4:30pm.

Responsibilities

  • Payment Processing:
    • Prepares payment requests for data entry.  Reviews for proper documentation and approvals.
    • Enters and processes fully documented college expenditure requests.
    • Assists Purchasing and Payables Manager with vendor database maintenance, including new vendor setup, and requests for W-9 documentation.
  • Compliance:
    • Reviews invoice, payment, and service delivery dates to assist with fiscal year-end reporting.
    • Determines payments to be reported on annual Form 1099-Misc, per IRS regulations.
  • Service and Training:
    • Trains users how to enter on-line purchase requisitions.
    • Trains approvers how to review and approve purchase orders.
    • Assists Grants Accountant with Principal Investigator (PI) trainings to ensure expenditure of grant  funds in accord with funder requirements.
    • Trains users about purchasing and payment policies and practices.
    • Trains users on utilizing e-procurement software tools.
  • Procurement Processing:
    • Processes purchase orders.
    • Monitors electronic approvals and follows up with individuals when a purchase requisition is held up.
    • Alerts the campus to discounts and favorable terms available through consortia vendor contracts.
    • Advises end users on sustainable procurement practices.
  • Other Responsibilities:
    • Completes other responsibilities as assigned. Participates as an active member of the team. Participates in department and college activities and supports implementation of shared goals and initiatives. Provides backup support to other members of the team.

 

Qualifications

  • Associate's Degree required. 
  • 1-3 years of progressive responsibility in an accounts payable function. 
  • Experience working in higher education is highly preferred but not required. 
  • Demonstrated experience and enthusiasm for general customer service and user support.
  • Basic data mining and trend analysis to monitor purchasing and payable data.
  • Ability to communicate clearly, both in writing and verbally, to a variety of audiences.
  • Demonstrated understanding of Banner ERP or related software, spreadsheet and word processing applications, collaborative tools, e.g. Google software.
  • Demonstrated understanding of sound business principles and basic accounting.

 

Compensation:

The hourly wage for this position will be $24.63 - $25.75, depending on experience.
