Overview

 

Macalester College is currently seeking a Registration and Records Specialist to join our established team in the Registrar’s Office. Under limited supervision,  this position manages the registration and records for all student types (degree-seeking and visiting). This includes current/incoming students, study away/exchange programs, internships, cross-registration agreements, and all visiting student types. The Registration and Records Specialist ensures the accurate entry and maintenance of academic student information: general student records, registration, mid-term and finals grades, transfer and study away credits, and collects information from faculty as required. This role directs special data entry projects as needed. The position also supports the general functions of the office and performs other duties as assigned to support the team.

 

This is a full-time onsite position that works 12 months. The position works 8:00am-4:30pm during the 9 month school year and 7:45am to 5pm Monday through Thursday, 7:45am-12 noon on Fridays during the summer months. 

Responsibilities

  • Primary responsibility for data entry of a high volume of time-sensitive data in the administrative computer systems (student, course, registration, grading). Performs professional entry/maintenance of highly sensitive personal data.
  • Lead all registration activities with the sole responsibility for cross-registration, study away/exchange programs, and all non-standard term (January and summer) registrations. Directs Macalester study away students and Leave of Absence students with registration support while away from campus.
  • Evaluate external credit for transfer to Macalester, including study away programs. Process data entry, provide communication, and maintain a transfer credit database.
  • Produces reports related to all types of students, registration of various programs, grades, course offerings, and cross-registration of academic courses. Troubleshoots and resolves issues as required. Completes miscellaneous administrative and clerical duties as assigned (e.g., corrections to records, dropping students from course for non-attendance, monitoring info on students, late deposits, cancels & deferrals).
  • Supports general office functions, including cross-training and back-up for other team members.

 

Qualifications

  • High School diploma required. Bachelor’s Degree preferred. 
  • 1-3 years of relevant experience. Experience with Banner preferred but not required. Prior experience in higher education is highly desired. 
  • Ability to think logically, use problem solving skills to solve problems and make decisions based on policy and procedures. 
  • Strong Word processing and skills with spreadsheets.
  • Demonstrated effective interpersonal, communication, and organizational skills with ability to consult with a diverse population.

 

Compensation:

The hourly wage for this position will be $24.63-$25.75, depending on experience.
