Overview

The Administrative Coordinator for the Dean for Institutional Equity and the Lealtad-Suzuki Center for Social Justice (LSC) works to support both student-facing, social justice focused programming while also helping to advance institutional-level equity-based initiatives.

As the administrative coordinator, this position serves as the first point of contact for the Lealtad-Suzuki Center for Social Justice, manages communications to engage the campus community and relevant stakeholders, supports implementation of events, programs, and initiatives, supervises student staff, assists with budget management, purchasing, and recordkeeping. This position coordinates administrative and office procedures, ensures organizational effectiveness, and fosters a clean, welcoming, and student-centered environment. joins a mission-focused team to support the student-facing and institutional-level equity-based initiatives.

This is a full-time, onsite position that works standard business hours Monday through Friday. The role does require flexibility to occasionally work evenings and weekends when the LSC programming requires it.

The Lealtad Suzuki Center for Social Justice works in collaboration with Macalester students to build a transformative community. We do this through learning, reflection, engaging in dialogue, and action. We interrogate our lived experiences and center the voices of those marginalized in our society with the goals of building strong relationships, critical consciousness, and collective liberation.

 

Responsibilities

  • Serve as the primary point of contact for the Lealtad-Suzuki Center (LSC), managing inquiries, greeting visitors, and directing communications across campus and external partners.
  • Provide comprehensive administrative and logistical support to the LSC and Dean for Institutional Equity, including calendar management, office organization, and records maintenance.
  • Coordinate and document departmental processes such as student staff hiring, contract management, and internal meeting logistics for both LSC and divisional initiatives.
  • Support event planning and implementation for LSC and divisional programs (e.g. purchasing, managing RSVP lists, advertising, food ordering and set-up, and room scheduling).
  • Manage student staff operations, including approving timecards, tracking hours, and supervising the LSC student staff team responsible for office assistance and marketing.
  • Develop and manage marketing and communications strategies across digital platforms, analyze engagement data, and implement improvements to enhance outreach.
  • Train and supervise student staff in social media marketing and communications.
  • Oversee the production and distribution of the LSC newsletter and of LSC and divisional program flyers, ensuring content is well-written, edited, and strategically aligned with center goals.
  • Maintain and update department and divisional websites, ensuring usability, accessibility, and accuracy through regular content audits and improvements.
  • Manage budget tracking and financial operations for LSC and the Division of Institutional Equity
  • Coordinate financial reimbursements and purchasing for student-led initiatives, working with professional staff to monitor and support budgets.
  • Support department and divisional relationship-building by participating in meetings, committees, and collaborative initiatives

Qualifications

Required Qualifications:

  • High school diploma or equivalent
  • Minimum of 3 years of administrative or coordination experience, preferably in a higher education, education, or the nonprofit sectors.
  • Strong attention to detail and the ability to manage multiple tasks and priorities simultaneously.
  • Demonstrated experience in managing confidential and sensitive information with discretion.
  • Strong written and verbal communication skills, including experience drafting professional correspondence and editing content for publication.
  • Experience supporting event planning and implementation, including logistics, communications, and vendor coordination.
  • Proficiency with social media platforms, email marketing tools, and website content management systems.
  • Experience developing communications strategies, creating social media and marketing content, and analyzing engagement data to improve outreach efforts.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project/task management tools.
  • Experience budgeting, tracking, reporting, and utilizing financial system tools
  • Demonstrated ability to work both independently and as part of a collaborative team in a fast-paced environment and mission-focused environment. 
  • Experience working in culturally affirming and supportive environments and supporting students from systematically marginalized backgrounds.
  • Demonstrated understanding of and commitment to diversity, equity, inclusion, and social justice principles.

 

Preferred Qualifications:

  • Associates degree in office administration or related field.
  • Experience with graphic design and layout software (e.g., Canva, Adobe Creative Suite) for creating marketing materials and newsletters.
  • Basic understanding of web accessibility standards and practices.
  • Familiarity with student development theory or working knowledge of student affairs or institutional equity work in a college or university setting.
  • Experience developing and managing social media in the context of work.
  • Experience supervising, training, and mentoring student staff or interns.

 

Compensation:

The hourly wage for this position will range between $22.85 - $23.89 depending on experience.
