Overview

About The Department: 

 

The Registrar’s Office is responsible for academic records, transcripts, grading, registration, and the collection and dissemination of certain student data. In addition, the office administers the academic calendar and schedule of classes, classroom scheduling, transfer credits, and certifies attendance and/or academic standing. The Registrar’s Office certifies to the faculty those students eligible for graduation and manages Degree Works, a degree audit and progress tool.


The Registrar Office at Macalester is open Monday through Friday, 8:00am to 4:30pm. 

Responsibilities

The Registrar is responsible for the leadership and operation of the Registrar’s Office. This includes planning, budgeting, organizing, managing, and assessing student records, graduation, degree audit, registration, schedule of classes, classroom scheduling, certification, transcript production, and internal, state and federal reporting functions for the College in support of its mission. The Registrar reports to the Associate Provost & Chief Data Officer in the division of Academic Affairs, serves on various college committees, and is responsible for appropriate administration of academic policy. As the official custodian of student records and the College’s FERPA Officer, the Registrar ensures the integrity, security, and accuracy of academic data. This role is highly collaborative, working across academic and administrative departments to support the student experience and ensure academic and regulatory compliance. The Registrar plays a pivotal role in student and curriculum systems governance and reporting, academic calendar development, and the execution of institutional initiatives.

  • Responsible for maintenance and security of student academic records and for ensuring College policies, procedures and regulations that relate to this area are properly administered. Develops, refines, and documents processes and procedures in the students’ records area. Manages the course substitution and transfer (CSTB) petition process for students. Oversees transfer credit processing for degree credit from study away and external credit. Maintenance includes catalogs and other relevant historical documents.
  • Collaborates with academic leadership and faculty governance bodies to support curriculum implementation and change processes. Maintains accurate and up-to-date degree requirements for all academic programs.
  • Manages the publication and governance of the academic catalog in consultation with faculty. Ensures policy changes are translated into accessible procedures for students and faculty.
  •  Develops and publishes the academic calendar. Oversees semester teaching schedules. Leads semester registration processes, including for non-standard offerings (e.g., independent study, co-curriculars, research). Monitors course enrollment, classroom scheduling, and instructional space optimization. Provides registration support and troubleshooting to students, faculty, and advisors.
  • Works collaboratively with academic and administrative areas of the College and IT Services to provide support to processes/functions necessary to maintain an excellent standard of services related to student record for students, faculty, staff and external clients. Collaborates on student and curriculum systems governance and serves as a key stakeholder in system upgrades or transitions.
  • Team Leadership: Hires, trains, monitors, and conducts scheduled evaluations of the work performance of employees supervised and, in the office, overall. Organizes staff and fiscal resources in support of priorities and workload demands.
  • Stays current on best practices through active participation in AACRAO, UMACRAO, and other relevant associations. Benchmarks institutional practices against peer colleges to support innovation and compliance.

Qualifications

Knowledge, Skills and Abilities

  • Strong interpersonal skills, including diplomacy, tact and professionalism.
  • Demonstrated strong knowledge of regulatory, professional, and ethical guidelines in enrollment management to ensure compliance with college, state, federal, and other outside agency rules and regulations.
  • Competency in planning and executing strategies for services and operations in a college/university environment, including skill in problem solving and change management.
  • Ability to effectively use computers, database systems, and information technology.
  • Ability to provide high quality customer service.
  • Ability to work in a diverse, collaborative, results-oriented environment.
  • Consistently exercises initiative.
  • Establishes, motivates, and supports effective teams to meet objectives.

 

Preferred Qualifications

  • Prefer experience with Banner/ WorkDay, platforms that manage scheduling, catalogs, curriculum, and eForms workflow, National Student Clearinghouse, Parchment

 

Physical Requirements:

  • Communicating with others to exchange information.
  • Lifting and Moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing.

Compensation:

The hiring range for this position is $95,953 to $100,315.
