Overview

The WGSS Department Coordinator plays a central role in WGSS, supporting the implementation of events, programs, and initiatives, supervising student staff, assisting with budget management, purchasing, and recordkeeping, managing communications to engage the department community and relevant stakeholders, and supporting faculty to advance the curricular goals of of the major. This position coordinates administrative and office procedures, and is key to fostering a welcoming, open, and student-centered culture and physical space.The Department Coordinator is often the first point of contact with the department, interacting with students, faculty, staff, and visitors. They are responsible for general departmental operations, fiscal monitoring, projects/events, management of confidential information, and supervision of student employees.

 

This is a .25 in-person position that involves occasional evening events and programming. The weekly schedule for this position will require being on-site in office during business hours and will be developed in collaboration with the selected employee 

 

About The Department:

The WGSS Department is a small and vibrant interdisciplinary department with a focus on social justice and community engagement, serving approximately 30 majors and minors, as well as a broader community of students deeply engaged in the issues central to the mission of WGSS. WGSS at Macalester is anchored in trans-inclusive critical intersectionality and emphasizes the inseparable relationship between classroom and community, theory and practice. With only two tenure track faculty, WGSS collaborates closely with other departments and units in events and programming, curricular offerings, and in the governance of the department, via the WGSS Steering Committee.

Responsibilities

 

  • Provide clerical and administrative support to faculty in the department; assist the chair of the department with general administrative tasks and procedures.  
  • Support the governance and functioning of the department through via support for monthly WGSS Steering Committee meetings and yearly Steering Committee Retreats, including scheduling, room reservations, food, purchasing, and communications.
  • Act as administrative liaison and point of contact for the department; provide oral and written information about department and course offerings to students and others on and off campus
  • Oversee and monitor department budget and make all department purchases, reconcile pcard
  • Organize and coordinate department events including publicity, room reservations, and food catering or purchasing, as well as coordinating travel, lodging, contracting and other aspects of hosting guest speakers.
  • Organize and maintain important department documents, databases, update department web site, as well as oversee department social media accounts
  • Hire, train, and supervise student employees, including scheduling and work direction.
  • Coordinate the once yearly production of departmental newsletter, including working with student workers to develop content, facilitate editing and publishing
  • Maintain department environment to be welcoming and functional for both faculty, student workers, and students (including department office, faculty offices, and general spaces such as lounge or study areas)
  • Demonstrates the commitment to equity, inclusion, and diversity. Actively engages in learning and practicing principles of social justice and inclusion to increase individual capacity to support institutional changes that create and sustain a more welcoming and inclusive environment across the Macalester Community.
  • Other Responsibilities: Completes other responsibilities as assigned. Participates as an active member of the team. Participates in department and college activities and supports implementation of shared goals and initiatives. Provides backup support to other members of the team.

Qualifications

 

  • High school diploma or equivalent
  • Minimum of 3 years of administrative or coordination experience, preferably in a higher education, education.
  • Strong attention to detail and the ability to manage multiple tasks and priorities simultaneously.
  • Strong written and verbal communication skills, including experience drafting professional correspondence and editing content for publication.
  • Experience supporting event planning and implementation, including logistics, communications, and vendor coordination.
  • Proficiency with social media platforms, basic graphic design, and website content management systems.
  • Proficiency in Microsoft Office Suite, Google Workspace, Zoom/video conferencing, and project/task management tools.
  • Experience budgeting, tracking, reporting, and utilizing financial system tools.
  • Demonstrated ability to work both independently and as part of a collaborative team.
  • Demonstrated understanding of and commitment to diversity, equity, inclusion, and social justice principles.

 

Compensation:

The hourly wage for this position will be, $22.85-$23.89 depending on experience.

 

This position is represented by MAPE.
